How To Delegate To Your Graphic Design Virtual Assistant | Ep 102

Aesthetics is only one aspect of graphic design. It's also a way to reach out and communicate to your target audience. Businesses use graphics to market, educate, engage, and persuade potential customers to buy their products or services.

If you haven’t listened to the previous episode of Master Delegator Podcast where I talked about what a graphic design VA can do for you, I suggest th at you listen to that so you can easily catch up to today’s episode where I will share with you how to delegate your tasks to a graphics VA so you can collaborate with them successfully.

What Your Graphics Design VA Needs To Know?

Getting information is the most common method to start any type of process, and the same is true in delegation. In the case of graphics design virtual assistants, you must share your company's branding with them. Why? Because your brand is your company's identity. This establishes the overall tone, look and feel of your brand, as well as how you want to communicate and express it visually to your target audience. To put it in another way, you must share your brand’s colors, fonts, logo and visual guide, often known as a brand book, with your graphics design VA. Finally,  once you've provided your graphics VA your company's branding guidelines, you can proceed with the types of graphics you can assign to your VA.

1. Product Design

If you need a product designed, a skilled graphic design virtual assistant should be able to convey it through a prototype. Simply ensure that your graphics VA researches thoroughly to avoid concerns like copyright issues with other products in the same identity.

2. Branding Design

This focuses on a company's or product's visual identity. In general, your marketing strategy should represent how you want your target market to perceive you because branding shapes a consumer's perception therefore, your portrayal of your brand should always be on top of your target audience's mind. This work can be utilized for website branding, company documents, brochures, and signages.

3. Website Graphics

Given that graphics design VAs are experts in their field,  they have a better understanding of user experience (UX) design when it comes to building a website. The design should match the type of branding your business has, so make sure that you take your brand book to heart.

4. Social Media Graphics

It is important to have strong visuals on your social media profiles since they reflect your company and brand. Your graphics VA must be capable of producing eye-catching visuals that will entice your target audience. Compelling copy and captions should be supported by strong graphics because they are part of your branding. Graphics design VA can create Facebook cover and profile photographs, Twitter cover photos, LinkedIn banners, and social templates for you.

Tips On Working With Your Graphic Design VA

1. Set Clear Communication And Expectations

Proper communication should be exercised as it is crucial in making a project work successfully. Then, choose a communication tool or platform that you both use, and ensure that groups are set up appropriately so that everyone engaged stays in touch at all times. Create a standard operating procedure (SOP) so you can simply delegate work to someone else if your graphics VA is unwell.

2. Set A Clear Time When Your Graphic Design Virtual Assistant Can Work

Ensure that this is followed from Day 1 depending on the agreed-upon set hours. Also, make it clear that they must be present and on time if they are required to attend meetings. If they have other clients to attend to, remind them to do so outside of your agreed-upon hours.

3. Discuss Plan B

If there are any power or internet outages while they are working on the project, make it clear that they must share these details with you in order for you to provide them with support.

4. Share Your Company Culture

It is important that your graphic design VA understands the values of the people with whom they will be working so that they can work well with the team assigned to them. Encourage them that your company thrives in positivity, therefore, negativity will not be tolerated.

5. Use A Task Management Tool

The use of a task management tool to interact with your virtual assistant is a must, but you must ensure that the task management tool that you will use contains clear and ordered action items so that everyone in the project is aware of the project's status
